 The Judicial Assistant provides administrative and clerical support to a division or an assigned county or circuit court judge’s office. This role involves handling sensitive and confidential information, demonstrating professionalism, and managing a variety of tasks in a fast-paced environment. The Judicial Assistant acts as a liaison between the judge and various stakeholders, including attorneys, law enforcement, and the public.

Responsibilities:

  • Communication Management:

    • Screen telephone calls and visitors; provide information, resolve issues, direct inquiries to appropriate personnel or agency, or take messages.
    • Act as the judge’s liaison to assist litigants, attorneys, law enforcement personnel, and witnesses concerning court procedures and policies.
  • Clerical Tasks:

    • Perform routine clerical tasks such as reviewing, distributing, and responding to incoming mail, completing data entry, ordering office supplies, maintaining files/records, faxing, and photocopying.
    • Review case files for accuracy, format compliance, and completeness before hearings.
  • Scheduling and Calendar Management:

    • Prepare and manage the judge’s court and professional calendar, including scheduling motions, pre-trial hearings, trials, conferences, and committee meetings.
    • Maintain trial dockets, continuances, and trial orders; assist attorneys with filing motions and scheduling hearings.
  • Document Preparation and Management:

    • Compose and/or edit correspondence, memoranda, notices, orders, reports, emails, and other documents with strict confidentiality.
    • Prepare yearly financial disclosure forms; make travel arrangements and process travel vouchers.
  • Research and Support:

    • Research information on hearing dates for other agencies; prepare notices of hearings for cases set on the calendar by the judge.
    • Conduct limited case law research using electronic databases such as LexisNexis.
  • Professional Development:

    • Attend technical or professional workshops or seminars to improve professional skills.
  • Other Duties:

    • Perform other related work as required.

Qualifications:

  • Education:

    • High School diploma or GED.
    • Two years of college or vocational school education in paralegal, secretarial studies, computer operations, or a closely related field.
  • Experience:

    • Three years of related experience.
  • Knowledge, Skills, and Abilities (KSAs):

    • Excellent interpersonal skills and ability to communicate clearly and concisely, orally and in writing.
    • Ability to handle individuals under stress with courtesy, tact, and patience.
    • Ability to manage sensitive matters with integrity and confidentiality.
    • Thorough knowledge of business English, spelling, and punctuation.
    • Excellent legal secretary, administrative, and typing skills.
    • Working knowledge of trial court rules and procedures.
    • Ability to operate standard office equipment and software including Microsoft Office 365 (Outlook, Word, Excel, PowerPoint, Zoom), courtMap, Criminal Justice Information System (CJIS), Odyssey, E-Filing, and Mocha.
    • Ability to organize and coordinate court schedules.
    • Ability to work independently with minimal supervision and prioritize tasks effectively.

  • Physical Demands:

    • Involves standing, walking, sitting, talking, listening, and reaching with hands and arms; must be able to transfer up to 10 pounds.
