Job Description

Managing⠀all⠀aspects of⠀administrative⠀tasks⠀related to⠀exhibitions,⠀as well as⠀ensuring⠀excellent⠀customer⠀service⠀for⠀attendees.
Exhibition⠀Coordination:⠀You'll⠀play a key⠀role in⠀planning,⠀organizing,⠀and⠀coordinating⠀exhibitions⠀details to⠀customers.⠀This⠀includes⠀managing⠀exhibitors’⠀requirements⠀such as⠀electricity,⠀catering,⠀stand⠀build⠀information/guidelines⠀& other⠀onsite⠀services,⠀coordinating⠀with⠀exhibitors⠀to⠀register⠀their⠀badges.
Administrative⠀Support:⠀You'll⠀handle⠀various⠀administrative⠀tasks such⠀as⠀scheduling⠀meetings,⠀managing⠀correspondence,⠀preparing⠀reports,⠀maintaining⠀databases,⠀issuing⠀LPOs,⠀processing⠀the⠀supplier’s⠀invoices⠀and⠀handling⠀any other⠀administrative⠀duties as⠀required.
Customer⠀Service:⠀Providing⠀exceptional⠀customer⠀service to⠀exhibition⠀attendees⠀will be a⠀priority.⠀You'll be⠀responsible⠀for⠀sharing⠀invoices,⠀payment⠀collection,⠀providing⠀event⠀information,⠀addressing⠀inquiries,⠀resolving⠀complaints,⠀and⠀ensuring⠀that⠀deadline⠀will be⠀met.
Team⠀Coordination:⠀Collaborating⠀with a⠀team will⠀be⠀crucial.⠀You'll be⠀responsible⠀for⠀scheduling⠀meetings⠀internal &⠀external,⠀support⠀the GED on⠀a daily⠀operation,⠀assist⠀Sales⠀Team,⠀supervise⠀admin⠀staff⠀members,⠀making⠀sure these⠀aspects⠀will be⠀covered;⠀delegating⠀tasks,⠀providing⠀guidance,⠀and⠀ensuring a⠀cohesive⠀work⠀environment.
Team⠀Management⠀&⠀Appointment:⠀You'll be⠀responsible⠀for⠀managing⠀the Admin⠀team,⠀providing⠀training⠀and⠀appointing⠀new team⠀member.
Marketing⠀Support:⠀Supports⠀marketing⠀such as⠀collating⠀the assets⠀which will⠀be used⠀for social⠀media or⠀promotional⠀materials,⠀coordinating⠀advertising⠀campaigns,⠀and⠀utilizing⠀social⠀media to⠀increase⠀awareness⠀and⠀attendance.
Sales⠀Support:⠀Support⠀sales team⠀in terms⠀of⠀processing/signing⠀the⠀Participation⠀Contracts,⠀Salesfore⠀update,⠀reporting⠀and⠀provide⠀after -⠀sales⠀support⠀such as⠀responding⠀to⠀customers⠀inquiries⠀related to⠀the event,⠀stand⠀packages⠀etc.
Sponsorship⠀fulfilment:⠀Manage &⠀coordinate⠀with the⠀team⠀(Sales,⠀Marketing,⠀OPS)⠀making⠀sure that⠀all the⠀benefits⠀will be⠀delivered⠀&⠀executed.
Event⠀& Speakers⠀Licence⠀Management:⠀Manage⠀Event⠀license &⠀speakers⠀permit⠀application⠀through⠀Abu Dhabi⠀government⠀system⠀(DCT/TAMM).
Badge⠀Registration⠀Management:⠀Develop⠀and⠀implement⠀badge⠀registration⠀strategies⠀including⠀understanding⠀the⠀process,⠀identifying⠀gaps, and⠀creating⠀strategies⠀to meet⠀the⠀required⠀standards.⠀Collect⠀the⠀required⠀documents⠀from all⠀attendees,⠀making⠀sure they⠀will be⠀registered⠀within the⠀deadline,⠀prepare⠀reports,⠀provide⠀guidance⠀and⠀support to⠀admin team⠀members⠀regarding⠀accreditation⠀processes⠀and⠀requirements.⠀Collaborates⠀with⠀various⠀departments⠀to⠀identify⠀areas for⠀improvement⠀and⠀implement⠀corrective⠀actions.⠀Liaison⠀with⠀accrediting⠀bodies and⠀badge⠀registration⠀supplier⠀for a⠀smooth⠀delivery.
Logistics⠀Management⠀Suppliers⠀coordination:⠀Negotiate⠀and⠀appoint⠀suppliers⠀for⠀flights,⠀hotels,⠀and visa⠀processing.⠀Arrange⠀travel⠀arrangement⠀for⠀speakers⠀and other⠀internal⠀requirement.
Onsite⠀Exhibitor⠀Services⠀Management:⠀Manage⠀onsite⠀customer⠀service.⠀Brief &⠀manage the⠀onsite⠀temp⠀staff,⠀making⠀sure all⠀inquiries⠀will be⠀handled in⠀a⠀professional⠀manner. Be⠀able to⠀manage⠀exhibitors⠀complains⠀and⠀provide⠀solutions.

Requirements and skills

Proven⠀experience⠀as Admin &⠀Customer⠀Service⠀management⠀or⠀similar
Experience⠀in an⠀event⠀sector
Proficient⠀in MS⠀Office
Excellent⠀vendor⠀management⠀skills
Outstanding⠀communication⠀and⠀negotiation⠀ability
Well-organized⠀with⠀multi-tasking⠀skills
Able⠀to handle⠀stress and⠀remain⠀calm
Problem-solving⠀ability
