We are seeking a Senior Administrative Partner to join our Operations team and oversee the day-to-day management of our remote office. In this role, you will support various departments, ensuring smooth operations through exceptional organizational skills and effective coordination.
Responsibilities:
- Coordinate space, catering, transportation, and other needs for meetings.
- Manage travel arrangements, track department expenses, submit invoices, and maintain distribution lists.
- Handle requests for new technology and manage office team shared sites.
- Participate in office projects and contribute to ongoing improvements.
- Oversee office emergency protocols and communications.
- Ensure the office is stocked with necessary supplies while staying within budget.
- Troubleshoot office equipment issues in collaboration with remote IT support.
- Create and maintain efficient office procedures and communicate when out of office to ensure task continuity.
- Collaborate with remote office admin teams to resolve unique challenges.
- Support other administrative tasks for Principal teams outside of Chicago, as needed.
Requirements:
- High school diploma or equivalent; Bachelor's degree preferred.
- 4+ years of administrative or office management experience.
- Proven ability to work independently and support multiple professionals across departments.
- Strong technical proficiency with Microsoft Office, SharePoint, and knowledge of specialized systems like Hyland’s OnBase Imaging and Midlands Enterprise Servicing System is a plus.
- Comfortable troubleshooting office and room technology issues.
- Ability to coordinate meetings, events, and guest logistics, including transportation and catering.
- Must be able to work on-site in the downtown Chicago office five days a week.
- Previous experience in an administrative role for a remote office is preferred.
Salary Range:
$24.51 - $33.17 per hour. Additional opportunities for bonuses and incentives based on role and performance.
