 Under the general guidance of the Director of Ancillary Services, this role is responsible for managing incoming calls, greeting and directing visitors, providing administrative support across departments, and ensuring a smooth and professional experience for all hospital guests. Additionally, this position includes monitoring fire alarms and announcing emergency codes per protocol.

Key Responsibilities:

  2. Protect the confidentiality of patient, personnel, and hospital information at all times.
  3. Understand and adhere to hospital and departmental policies and procedures.
  4. Screen and route incoming calls on the main hospital line according to HIPAA guidelines and manage overhead paging.
  5. Greet, register, and direct visitors to their appropriate destinations, ensuring all visitor check-out procedures are followed.
  6. Monitor the restricted visitor list and manage extended visiting hours, updating the visitor management system as necessary.
  7. Notify relevant departments when specific visitors arrive and collaborate with security to enforce visitor policies.
  8. Oversee the fire alarm system, announcing emergency codes (EICS) according to hospital policy.
  9. Educate visitors on the use of PPE per Infection Prevention guidelines and ensure ample supply of gowns and gloves.
  10. Assist the Admitting Department by notifying them of patient needs for signatures and copying insurance and identification cards as needed.
  11. Support Admitting with room transfers and discharges during specified hours.
  12. Sort and distribute incoming and interoffice mail daily.
  13. Maintain and update census reports of in-house patients, tracking essential details per procedural guidelines.
  14. Process vending refunds and manage the sale of postage stamps and movie tickets.
  15. Maintain and stock necessary office supplies, including visitor labels, PPE, and logs for copier repairs, vending refunds, and tours.
  16. Perform other duties as assigned.

Skills & Abilities:

  • Minimum typing speed of 45 wpm.
  • Proficiency in PC-based applications, particularly word processing, spreadsheets, and presentations.
  • Skilled in designing accurate reports and tracking systems.
  • Strong multitasking abilities, especially handling multiple phone lines, screening calls, and communicating effectively with customers.

Preferred Qualifications:

  • Experience with Microsoft Office Suite.

Knowledge & Experience:

  • Minimum: High School Diploma
  • Preferred: 1-2 years of relevant office experience
