This role offers an exciting opportunity to contribute to the growing data center property management sector with a leading industry player. As a Property Assistant, you will provide essential support for managing data center properties, assisting with clerical tasks, basic bookkeeping, and more. You will be part of a dynamic team that combines the personal atmosphere of a smaller office with the stability and resources of a large corporation, allowing you to grow both professionally and personally.

Key Responsibilities:

As a Property Assistant, you will support a team including Real Estate Managers and Assistant Real Estate Managers. This position involves a mix of administrative tasks and bookkeeping responsibilities. Your specific duties will include:

  • Assisting with the planning, budgeting, and management of both operating and capital expenditures.
  • Helping prepare annual budgets, forecasts, monthly reports, and variance analysis.
  • Supporting accounts receivable and payable processes, including rent collection, accruals, payment processing, common area maintenance estimates, reconciliations, and lease compliance.
  • Addressing customer inquiries and coordinating with the Property Management Team to resolve any issues.
  • Assisting in selecting vendors and managing their performance, including preparing requests for proposals and service contracts.
  • Ensuring vendor services comply with established agreements and quality standards.
  • Scheduling and coordinating maintenance activities with vendors and customers.
  • Documenting and tracking certificates of insurance for vendors and customers.
  • Maintaining accurate and up-to-date information for both vendors and customers.
  • Preparing communications to customers and vendors.
  • Cultivating strong working relationships with both internal and external stakeholders.
  • Managing lease and property files.
  • Handling incoming calls and mail.
  • Scheduling and coordinating meetings, customer events, and site visits.
  • Monitoring and stocking clerical supplies as needed during site visits.

Required Qualifications: The ideal candidate will have 2 to 3 years of experience in a similar administrative or office support role, though we are open to recent college graduates with a strong willingness to learn. To succeed in this role, you should possess:

  • A minimum of three years of relevant administrative or office experience.
  • Proficiency with Microsoft Word, Excel, and Outlook.
  • A demonstrated ability to deliver excellent customer service.
  • A valid driver’s license and reliable transportation for visiting various properties.

Additionally, the following qualities will be essential:

  • Strong organizational and attention to detail skills.
  • The ability to manage multiple tasks and prioritize effectively.
  • A friendly, people-oriented approach with strong interpersonal skills.
  • Excellent communication skills, both written and verbal.
  • Resourcefulness and the ability to work independently.
  • Reliability and punctuality.

Preferred Qualifications:

  • A Bachelor’s degree is preferred.
  • Familiarity with Yardi or similar property management software.
  • Experience with bookkeeping, including accounts payable, budgeting, and financial reporting.
