The Administrative Specialist position for King County Road Services Division supports the Maintenance Section. This role involves close collaboration with payroll staff, managers, and maintenance teams to provide administrative and office support, ensuring smooth operations within the division. It requires attention to detail, effective communication skills, and the ability to handle various office tasks such as payroll tracking, management reporting, database maintenance, and customer service.
Key Responsibilities:
- General Office Support: Draft, edit, and proofread communications, process training requests, maintain priority correspondence, and manage confidential information.
- Payroll/Labor Distribution: Review and ensure accurate data entry for employee work orders and task numbers.
- Management Reporting: Maintain the Roads Maintenance budget tracking database, produce weekly budget reports, and manage work orders in Cityworks.
- Database Maintenance: Assist crew chiefs and supervisors with data entry and database updates.
- Customer Service: Provide technical support to staff and manage public inquiries.
Qualifications:
- Required: Knowledge of general office policies and procedures, proficiency in Microsoft Office, strong communication and customer service skills, organizational abilities, attention to detail, and the ability to work independently or as part of a team.
- Desired: Two years of full-time office experience, preferably in a construction-related environment.
Requirements:
- Valid Washington State Driver's License.
- Reliable attendance and the ability to work independently.
Work Schedule:
- 20-hour workweek, Monday through Friday, with possible 4-day workweeks during the summer.
- The position is overtime-eligible, with flexible hours depending on the time of year.
