PineBridge Investments, a global asset manager, is seeking an Office Manager/Corporate Travel Specialist. This role involves managing the travel and expense email box, handling security issues, overseeing Concur profiles and inquiries, coordinating office supplies, and managing visitor reception and mail operations. The ideal candidate should be highly organized, proficient in Microsoft Office, and capable of handling multiple tasks efficiently.

Primary Responsibilities:

  • Travel & Expense Management:

    • Support the Travel & Expense email box by answering policy questions and card inquiries.
    • Handle security issues, including fraud, lost/stolen activity, and compromised accounts.
    • Act as a liaison to facilitate problem resolution.
    • Manage card application procedures, card issuance, closure, and expedited delivery requests.
    • Assist with card maintenance, including name changes and profile updates.
    • Manage account controls, such as overrides and temporary limit adjustments.
    • Serve as a resource for Concur inquiries and handle ad hoc Concur report requests.
    • Provide occasional assistance with the Corporate Travel site (CTM).
  • Office Management:

    • Reception and coordination of visitors, including attending to their needs and rearranging meeting rooms.
    • Coordinate office event plans and ensure that office equipment is functioning correctly.
    • Manage courier, mail, and messenger operations.
    • Control and order office supplies, including coffee and other necessities.
    • Maintain inventory control and anticipate reorders.
    • Maintain a relationship with the Building Administration.

Qualifications:

  • Experience: 1-3 years of experience in office management, corporate travel, or expense management roles (preferred but not required).
  • Skills:
    • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
    • Familiarity with Concur Travel and Expense Management software.
    • Knowledge of corporate travel management tools and platforms (e.g., CTM systems).
    • Strong verbal and written communication skills.
    • Excellent organizational skills with the ability to manage multiple tasks and priorities.
    • Strong attention to detail and customer service orientation.
    • Ability to handle sensitive and confidential information with discretion.
    • Ability to adapt to changing priorities and handle ad hoc requests effectively.
