As an Office Services Professional at AlixPartners, you will play a key role in managing the day-to-day operations of the office, ensuring everything runs smoothly and efficiently. You will assist with various office support tasks, including handling client requests, maintaining office spaces, supporting administrative tasks, and providing exceptional customer service. This is a temporary, full-time role with potential for permanent employment, where attention to detail, organizational skills, and problem-solving abilities are critical to success.

Responsibilities:

  • Office Support & Requests Management:

    • Assign hoteling offices and book conference rooms.
    • Add visiting employees, guests, and vendors to building security.
    • Execute print jobs, submit maintenance requests, and manage other office-related tasks.
  • Receptionist Duties:

    • Serve as the primary receptionist for the office, handling phone and guest inquiries.
  • Office Maintenance & Upkeep:

    • Maintain kitchens, storage rooms, and conference rooms, including cleaning, stocking, and ensuring supplies are replenished.
    • Perform light housekeeping duties, such as spot cleaning, changing light bulbs, and organizing spaces.
    • Order and maintain office supplies inventory.
  • Meeting & Event Support:

    • Set up conference rooms for meetings, including arranging catering and handling post-meeting cleanup.
    • Assist with creating event name badges and processing administrative tasks like expense reports.
  • Mail and Deliveries:

    • Distribute and organize incoming and outgoing mail (US, International, Express, and Interoffice Mail).
    • Handle incoming deliveries and stock storage areas.
  • Additional Administrative Support:

    • Assist administrative professionals with tasks such as creating binders, processing expense reports, and providing general office support.
  • Miscellaneous:

    • Perform other duties as required or assigned by the team lead.

Required Skills & Qualifications:

  • Education: High School Diploma or equivalent.

  • Experience: Minimum of 3 years in an office environment (preferably in a corporate setting).

  • Skills:

    • Strong organizational skills and attention to detail.
    • Excellent time management and multitasking abilities.
    • Exceptional customer service skills with the ability to interact professionally with all levels of staff.
    • Proficiency in Microsoft Word, Excel, and Outlook.
    • Ability to prioritize tasks effectively and manage multiple projects.
    • Resourcefulness and problem-solving abilities.
    • Ability to handle sensitive, confidential information with discretion.
    • Strong written and verbal communication skills in English.
    • Physical ability to lift up to 15 pounds.
    • Flexibility and adaptability to changing procedures and urgent needs.
  • Other Requirements:

    • Ability to work full-time in both office and remote settings.
    • Willingness to work outside normal business hours as needed.
    • Must be authorized to work in the United States (no visa or immigration sponsorship provided).
