Responsibilities:

  • Reception and Communication: Greet visitors, answer and route phone calls, and handle messages; initiate calls to gather requested information.
  • Mail Management: Sort, open, and distribute incoming mail/packages, prepare outgoing mail, ensure accurate postage, and proofread documents.
  • Scheduling: Schedule and coordinate appointments, meetings, and events as needed, including basic travel arrangements.
  • File and Records Management: Create, update, and maintain confidential records within an established filing system.
  • Inventory Management: Prepare and monitor office supply orders, maintain inventory, and distribute office equipment and keys.
  • Financial and Website Support: Assist with financial documents and perform routine website updates.
  • Student Worker Oversight: Assist in hiring, training, and overseeing student workers and assigning their tasks.
  • Emergency Preparedness: Act as the office’s contact for emergency procedures, including broadcast network tests and maintaining emergency exit plans.
  • Other Duties: Participate in special projects and other duties as assigned.

Qualifications:

  • Minimum Requirements:

    • High school diploma or equivalent.
    • Six (6) months of office/clerical experience or a combination of education and experience equivalent to six months.
  • Preferred Qualifications:

    • Experience with clerical tasks and computer systems, along with familiarity with basic office software.
