 Under general supervision, the CAFM Specialist manages the CAFM (Computer-Aided Facility Management) program and ensures the accuracy and upkeep of related spatial data. The role involves maintaining real-time accuracy of floorplans, managing data requests related to capacity, occupancy, and square footage, and serving as a technical advisor to less experienced CAFM users. Regular interaction with internal customers and software vendors is required to identify, research, and resolve issues.

Essential Duties and Responsibilities:

  • CAFM System Maintenance: Manage day-to-day operations of the CAFM system, including check-in/check-out of AutoCAD floorplans and preparing as-builts for import.
  • Database Management: Maintain an accurate database of floorplan as-builts on internal drives, working with facility planners and project managers to keep records up-to-date.
  • Occupancy Data Management: Handle terminations, additions, and dual seat assignments manually when necessary, coordinating with HR and internal customers.
  • Data and Report Requests: Respond to all requests for data and reports related to floorplans, space types, capacities, occupancy, and square footage allocations.
  • Reporting: Create ad hoc reports as needed and maintain a report database within the CAFM system.
  • CAFM Expertise: Become a power user of the CAFM system, train others, and assist with troubleshooting and problem resolution.
  • Move Management: Lead the back-end process for move orders, executing seat changes within CAFM and correcting mistaken move requests.
  • Move Liaison Support: Encourage high utilization of the MAC portal, offering training and guidance to move liaisons.
  • Building and Occupancy Audits: Conduct audits to validate seating and occupancy accuracy, updating floorplans as necessary.
  • Documentation Maintenance: Keep CAFM procedures and documentation up-to-date, detailing process changes.
  • Electronic Floor Plans: Maintain electronic versions of floor plans on the organization’s intranet.
  • User Management: Work with IT to manage the CAFM user list, enabling single-sign-on and maintaining user records.
  • Process Improvement: Identify and implement process improvements to streamline CAFM operations for better efficiency.
  • Rent Chargebacks: Assist with administering rent chargebacks via CAFM square footage allocations by business unit.
  • Software Upgrades: Participate in future implementations and upgrades of AutoCAD and CAFM programs, including user acceptance testing.
  • Additional Duties: Perform other tasks as assigned.

Qualifications:

  • Knowledge:
    • Proficiency with AutoCAD and CAFM programs.
    • Basic understanding of facilities and occupancy planning, building measurement techniques, space planning, and applicable regulations.
    • Familiarity with project management principles and construction techniques.
  • Skills:
    • Ability to read and interpret AutoCAD plans, maintain electronic floor plans, and measure facilities.
    • Proficiency in standard office software, including AutoCAD and CAFM programs.
  • Abilities:
    • Attention to detail while maintaining a big-picture perspective.
    • Ability to manage multiple tasks in a fast-paced environment.
    • Strong communication skills and the ability to work independently and collaboratively.
    • Commitment to providing excellent customer service and maintaining effective working relationships.
    • Keeping current with CAFM, AutoCAD, and square footage allocation methodologies.

Educational/Experience Requirements:

  • Bachelor’s Degree: In a related discipline with two (2) years’ experience in AutoCAD and CAFM programs.
  • OR Equivalent: An equivalent combination of education, experience, or training.

  • None required.
