The Legal Support Specialist will assist attorneys by processing legal documents, managing schedules, and handling other administrative tasks to ensure the efficient operation of the Litigation Department.

Duties & Responsibilities:

  • Legal Document Processing: Create and edit briefs, pleadings, and other legal documents, including formatting and preparing tables of contents and authorities.
  • Filing: Responsible for filing documents with courts and administrative agencies.
  • Scheduling & Calendar Management: Use Microsoft Outlook to manage attorney schedules, including calendar appointments and litigation deadlines.
  • Travel Arrangements: Make travel arrangements for attorneys as necessary.
  • Communication: Handle phone lines, field calls, and convey messages. Maintain strong communication with attorneys, clients, and coworkers.
  • Billing & Expense Management: Assist with monthly bills, process attorney expense reimbursements, and vendor invoices using the firm's reimbursement software system.
  • File Management: Open new matters, maintain relevant document inclusions, and manage files both electronically and manually.

Skills & Competencies:

  • Attention to Detail: Must be reliable, detail-oriented, and able to learn new technology quickly.
  • Communication Skills: Excellent written and verbal communication skills are required.
  • Customer Service: Strong customer service skills and a positive attitude are essential.
  • Multitasking: Must be able to work on multiple matters simultaneously while adhering to strict deadlines.
  • Independence & Teamwork: Ability to work independently and collaboratively within a team.

Qualifications & Prior Experience:

  • Education: A Bachelor’s Degree or equivalent experience is preferred.
  • Experience: A minimum of 5 years of experience in a large law firm, preferably in litigation.
  • Independence & Teamwork: Ability to work independently while also contributing to a team environment.
