Cooley LLP is seeking a Legal Secretary to join its Litigation Department, providing administrative support for various projects and duties. This position involves assisting timekeepers and secretaries in the assigned practice group, including managing tasks like document preparation, travel coordination, and other clerical responsibilities.

Key Responsibilities:

  • Manage interoffice mail and timekeeper phone calls.
  • Assist with scheduling, lunch orders, car services, and other logistical tasks.
  • Greet visitors and escort them to meeting rooms with necessary amenities.
  • Conduct research, prepare reports, handle information requests, and perform clerical duties like drafting correspondence and setting up conference calls.
  • Review documents for accuracy and ensure proper handling of confidential information.
  • Coordinate meetings, including scheduling space and confirming attendees.
  • Arrange travel, prepare expense reports, and process reimbursements.
  • Maintain and organize files, ensuring proper e-Records filing.
  • Assist with overflow work such as revisions, proofreading, and document processing.
  • Support the firm’s business development by maintaining and updating the CRM tool.
  • Assist with various administrative and special projects as required.

Skills & Experience:

Required:

  • High school diploma or equivalent.
  • Proficiency in Microsoft Word, Excel, PowerPoint, Outlook, and Cooley applications (after training).
  • Office experience as an Administrative Assistant.
  • Availability to work overtime as needed.

Preferred:

  • 6+ years of relevant experience.
  • Bachelor’s degree.
  • Previous law firm or professional services experience.

Compensation & Benefits:

  • Hourly Pay Range: $32.00 - $47.00 per hour ($66,560.00 - $97,760.00 annually), depending on experience and geographic location.
