The Information Governance Specialist is responsible for managing and maintaining the firm’s information assets throughout their lifecycle. This includes processing, sorting, coding, classifying, and retrieving both physical and electronic data, ensuring compliance with security and retention policies. The position requires strong organizational skills, proficiency with technology systems, and a commitment to supporting client service initiatives.

Key Responsibilities

  • Information Processing & Management:

    • Process and classify incoming information in various media formats.
    • Maintain, retrieve, and distribute files and other materials as needed.
    • Create and index electronic records, including scanning and profiling.
    • Ensure data integrity and perform quality checks on entries and scanned images.
  • Client Support:

    • Respond to inquiries via department helpline and email.
    • Train and support end-users on information governance processes.
  • Compliance & Security:

    • Assign retention codes and manage retention schedules.
    • Ensure compliance with information security protocols (e.g., ethical walls, legal holds).
  • Records Management:

    • Prepare materials for off-site storage.
    • Maintain accurate check-out and tracking systems.
  • Perform additional tasks as required to support departmental and organizational goals.

Position Requirements

  • Education:

    • High School Diploma or GED required.
  • Experience:

    • 2-3 years of relevant experience in a professional services environment preferred.
    • 1 year of experience considered with post-high school education.
  • Technical Skills:

    • Proficiency in Microsoft Office Suite and general database systems.
    • Experience with FileTrail and NetDocs preferred.
