The Information Governance Analyst at McDermott Will & Emery is responsible for managing information governance initiatives to ensure compliance with laws, regulations, and internal policies. This role involves overseeing the proper management and protection of information across the firm, working on projects related to client transfers, attorney on-boarding and off-boarding, legal holds, and electronic data management. The Analyst works with technology systems used by the Information Governance Risk and Compliance Department and ensures efficient workflows and compliance across various firm departments.
Essential Functions and Responsibilities:
Policy & Compliance Management:
- Ensure compliance with the Firm’s Information Governance Policy and communicate the obligations to stakeholders.
- Handle inquiries related to Information Governance policies and procedures from attorneys, paralegals, and staff.
- Enforce compliance to meet ethical and regulatory requirements regarding sensitive or protected data.
Data Management & Transfers:
- Manage the transfer of electronic records to/from the firm’s Document Management System (iManage) and related repositories.
- Ensure proper identification, collection, and transfer of electronic data related to attorney departures, legal holds, and client transfers.
- Document and classify outbound digital record transfers for due diligence tracking.
Technology & Workflow Support:
- Provide input on technology solutions such as workflow integrations, analytics, and metadata classification.
- Utilize FTP server technology (Titan File), encryption controls (7-zip), and metadata systems (Prosperoware Milan).
- Help develop and maintain best practices for using technology and managing workflows effectively.
Collaboration & Client Service:
- Build positive relationships with attorneys, staff, and other stakeholders to support attorney transitions and internal collaboration.
- Work closely with Legal and Business Operations teams to ensure smooth transitions and effective information management.
Security & Governance Procedures:
- Assist in developing and implementing security measures for workspaces and folders within the Information Governance systems.
- Help design and maintain information governance compliance procedures and educational materials.
Special Projects:
- Participate in and support special projects related to information governance and compliance.
Required Education & Experience:
- Education: At least two years of related work experience or a Bachelor’s degree.
- Skills:
- Proficiency in Microsoft Office Suite (Excel, Outlook, PowerPoint, Word).
- Strong written and verbal communication skills.
- Excellent organizational and time management skills.
- Ability to maintain confidentiality and handle sensitive information.
Preferred Experience:
- Law firm experience is a plus.
- Experience with Document Management Systems (iManage or NetDocs).
- Familiarity with Prosperoware Milan and ServiceNow.
Salary & Benefits:
- Target Hiring Range: $56,000 - $84,000, depending on experience and skills.
- Bonus: Eligible for discretionary performance-based bonuses.
