Kimley-Horn is seeking an HR Assistant to join their HR team in Tampa, FL. The HR Assistant will support various HR functions, including onboarding, compliance, and administrative tasks. This is an on-site position with a focus on ensuring smooth HR operations and supporting the HR team in various capacities.

Responsibilities:

  • Onboarding and Integration:

    • Manage onboarding tasks such as pre-employment paperwork, background checks, and drug tests for new hires.
    • Partner with HR Coordinator or Partner to handle adjudication processes based on new hire screenings.
    • Manage the I-9 process for new hires, including addressing tentative non-confirmation results and employment authorization reverifications.
  • HRIS Management:

    • Enter new hire details into the HRIS system following onboarding guidelines.
    • Maintain and manage personnel files in HRIS Document Manager and hard copies.
    • Use the HRIS system to prepare reports.
  • Support and Coordination:

    • Schedule new hire orientation and assign required trainings.
    • Assist Recruiters with job postings, career fair coordination, candidate interview coordination, and travel arrangements, including processing associated travel expenses.
    • Support internal auditing efforts to ensure accuracy in I-9 records and employee personnel information.
    • Ensure compliance with federal and state labor law poster regulations.
  • Administrative Duties:

    • Manage calendars and schedule meetings/conference calls.
    • Organize and schedule training sessions or other meetings as needed.
    • Maintain the HR supply room and order supplies.
    • Perform administrative tasks such as photocopying, mailing, scanning, and filing.
  • Additional Duties:

    • Perform other duties as assigned.

Qualifications:

  • Education: High School Diploma or equivalent.
  • Skills:
    • Strong interpersonal and communication skills.
    • Proficient in MS Office Suite, especially Excel, Word, and Outlook.
    • Proficient in Adobe Acrobat.
    • Positive, client service-oriented attitude.
    • Collaborative and team-oriented approach.
    • Ability to manage and balance multiple tasks/priorities in a fast-paced environment.
    • Attention to detail, excellent organizational skills, and discretion with confidential information.
