The Talent Acquisition Coordinator collaborates with UI Health's Human Resources Department to design, execute, and assess strategies related to the pre-onboarding and onboarding processes for Civil Service, Graduate Hourly, and Academic Professional employee groups. This role works closely with the Assistant Director of Recruitment & Retention, HR Business Partners, and Hiring Managers to facilitate the hiring process for both new and current staff. Additionally, the coordinator supports gathering and analyzing HR data to improve procedural solutions for enhanced data accuracy and successful outcomes.

Duties & Responsibilities:

  • Pre-Onboarding & Onboarding Process:

    • Design, evaluate, and implement pre-onboarding processes for an exceptional candidate experience.
    • Collaborate with HRBPs, Hiring Managers, and Employee Engagement teams to transition candidates from job offer acceptance to pre-onboarding and onboarding.
  • Hiring Process:

    • Conduct pre-employment tasks such as scheduling clearances, conducting pre-employment assessments, registering new hires in NEO, and completing hiring paperwork (I9s, ID authorization forms, etc.).
    • Initiate and submit transactions like the New Hire Transaction and Internal Hiring transactions.
  • Data Management:

    • Organize and update candidate data in the Applicant Tracking System (ATS) and hiring folders.
    • Mark new hires as hired, and notify non-selected candidates.
  • Surveys & Reporting:

    • Conduct surveys to evaluate candidate experience and analyze feedback.
    • Prepare reports on new hire metrics (e.g., source-of-hire, time-to-hire, time-to-fill).
  • Event Participation:

    • Assist in employment events, including open houses and job fairs.
  • Customer Service:

    • Deliver excellent customer service to both internal and external customers in line with UI Health's mission, culture, and values.
  • Confidentiality:

    • Maintain confidentiality of sensitive employee and candidate information.
  • Additional Duties:

    • Perform data entry for employee certifications and other HR records.
    • Participate in special projects and other related duties as assigned.

Minimum Qualifications:

  • Education: High school diploma or equivalent.

  • Experience:

    • A combination of work experience and coursework totaling three (3) years (36 months), which can include:
      • Coursework in human resource administration, business administration, or a closely related field.
      • Experience maintaining, monitoring, and processing HR records and reports.
