The Health Information Management Specialist is responsible for managing patient records in compliance with federal, state, and local regulations. This position involves processing, retrieving, and organizing patient information for hospital departments, ensuring accuracy and confidentiality in all tasks. The role supports the smooth operation of medical record management and assists in the hospital’s broader operational goals.

Key Responsibilities

  • Record Management: Process and retrieve medical records for various departments, ensuring accuracy, completeness, and compliance with RUMC guidelines.
  • Customer Service: Interact with patients, hospital staff, and external requestors, providing excellent service while handling requests for medical records.
  • Data Entry & Scanning: Ensure the proper entry and scanning of medical records, performing quality reviews of images and maintaining scanning equipment.
  • Inquiries & Communication: Handle patient information inquiries, ensuring timely and accurate responses, including emergency releases of information.
  • Physical Tasks: Transport and organize medical records across the medical center. Ensure all patient charts are retrieved and correctly placed in universal order.
  • System Management: Use multiple software systems to locate, reproduce, and maintain patient records, including data entry for reporting purposes.
  • Support Duties: Assist in copying, filing, mail deliveries, and other administrative tasks as required. Collaborate with physicians and staff to ensure efficient records management.

Required Qualifications

  • Education: High School Graduate or equivalent.
  • Experience: Medical terminology (completion required within the first 12 months of employment).
  • Skills:
    • Proficiency in Windows applications (Word, Excel, Access).
    • Advanced typing skills (15-20 words per minute).
    • Strong attention to detail and accuracy in record handling.
    • Ability to interact effectively with others in a healthcare setting.
    • Excellent spelling, math, and alphabetizing skills.
    • Proficient in using telephone, fax, and copier machines.

Preferred Qualifications

  • Some college coursework in accounting, healthcare, or secretarial courses.
  • Prior experience in healthcare, office administration, or Health Information Management.


Quality Management Responsibilities

  • Achieve 98% accuracy in prepping and scanning within 3 months.
  • Ensure 100% of paper documentation is scanned within 24 hours of receipt.
  • Meet a 5-day turn-around for the release of information.
