The Health Information Management Clerk at RUMC is responsible for accurately processing and retrieving patient records and documents, ensuring compliance with federal, state, and local regulations. This role involves maintaining the order of records, performing quality checks on scanned documents, and providing excellent customer service when interacting with requestors. The position requires attention to detail, the ability to work independently, and proficiency in various software and office equipment.
Key Responsibilities:
Record Processing & Retrieval:
- Process all record requests promptly and accurately, ensuring the requestor is kept updated on the status.
- Validate the adequacy of written and telephone requests for patient information.
- Retrieve and deliver patient charts from various areas of the medical center.
Document Scanning & Quality Review:
- Scan and perform quality reviews of medical images and documents.
- Maintain scanning equipment and ensure its proper functioning.
Record Organization & Maintenance:
- Ensure that patient records are placed in the proper order, following RUMC’s guidelines.
- Accurately update patient chart status and location within hospital software systems.
Data Entry & Reporting:
- Enter abstracted data for reporting purposes.
- Maintain productivity logs and provide data to supervisors as required.
Patient Information Management:
- Issue medical record numbers and activate MyChart accounts.
- Assist physicians by pulling records and reports for their attention.
- Sort and deliver signed reports to physician mailboxes.
Customer Service & Communication:
- Respond to requests from patient care areas and other departments for records.
- Provide courteous and professional support to physicians, staff, and external requestors.
Compliance & Quality Management:
- Ensure compliance with all department policies, including the timely release of patient information and proper handling of birth/death certificates.
- Meet quality management standards such as prepping and scanning accuracy and timely document processing.
Qualifications:
Required:
- High School diploma or GED.
- Completion of medical terminology course with a grade of C or above within the first 12 months of employment.
- Experience with Windows applications and proficiency in MS Office (Word, Excel, Access).
- Minimum typing speed of 15-20 words per minute.
- Excellent organizational skills and attention to detail.
- Ability to work independently and effectively handle multiple tasks.
- Strong customer service skills and the ability to interact professionally with staff, physicians, and patients.
- Ability to lift up to 50 lbs. and transport charts or records around the medical center.
Preferred:
- Some college coursework in healthcare, accounting, or secretarial courses.
- Prior experience in office, healthcare, or Health Information Management.
Physical Demands:
- Ability to move throughout the medical center and lift up to 50 lbs.
- Ability to work in an environment with distractions while maintaining concentration on tasks.
