This role provides essential secretarial, clerical, word-processing, and minor administrative support within the Oncology Department, handling routine matters independently and managing confidential information.
Primary Qualifications:
- Education: High school diploma or equivalent required; post-high school secretarial training (1-2 years) preferred.
- Experience: Minimum of 2 years in a secretarial role, preferably within a healthcare or medical setting.
- Skills: Proficiency in word processing with a minimum typing speed of 60 WPM; knowledge of medical terminology and transcription is advantageous.
- Interpersonal Skills: Strong communication and customer service skills are essential.
Primary Duties and Responsibilities:
- Demonstrates and upholds Resilience Healthcare’s Customer Service Values to ensure quality patient and customer service.
- Transcribes and prepares various documents, reports, memos, orders, and policies.
- Manages general clerical tasks, including filing, copying, collating, and distributing mail and materials.
- Greets visitors, screens, and directs calls.
- Enters medical staff and department charges into the hospital’s computer system.
- Maintains and updates the departmental Policy and Procedure manual under the manager’s guidance.
- Organizes the medical director’s schedule, makes travel arrangements, and coordinates meetings.
- Participates in staff meetings and teams to enhance department workflow and patient satisfaction.
- Acts as a resource for inquiries, offering general information or directing issues to the appropriate personnel.
- Maintains confidentiality of all patient and hospital information.
- Manages stock levels of supplies, initiates purchase requisitions, and recommends invoice payments; coordinates equipment maintenance and service calls as needed.
- Pursues professional development through educational programs, in-services, meetings, and workshops.
Working Conditions:
- Physical Environment: Work is performed in a typical office setting, with regular exposure to VDT rays from computer terminals. The workload may shift frequently.
- OSHA Category III: Routine duties do not involve exposure to blood, body fluids, or tissue, nor is emergency care required.
- TB Exposure: There is a possible occupational risk for TB exposure; therefore, TB control training, PPD skin tests, and/or health screenings are required.
