As part of Aon's Public Affairs team within the Office of the President, the Executive Administrative Assistant will play a key role in supporting the Director of Public Affairs and other team members. This position involves scheduling meetings, managing executive calendars, coordinating travel, handling expenses, and overseeing special projects related to public affairs initiatives. You will interact with both internal and external leaders regularly, providing logistical and administrative support to ensure the smooth operation of departmental activities.
Key Responsibilities:
- Meeting Coordination: Schedule and coordinate internal and external meetings, including in-person and virtual meetings, ensuring timely and accurate arrangements across multiple time zones.
- Travel Management: Arrange both domestic and international travel, including re-bookings and logistical changes.
- Expense Management: Handle and track expenses for the department, ensuring proper use of corporate financial systems.
- Project Management: Administer the Political Action Committee (PAC) and ensure compliance with federal and state filing requirements. Assist in executing project plans for timely delivery of objectives.
- Event Coordination: Plan and manage political and fundraising events, including logistics for Aon offices in Chicago and nationwide.
- Documentation & Reports: Support the creation of promotional materials and periodic mailings for external partners.
Skills & Experience:
- 5+ years in a professional administrative support role, preferably with exposure to public affairs.
- Strong proficiency in MS Office (Word, Excel, PowerPoint).
- Proven project management skills with the ability to handle multiple competing priorities.
- Excellent communication, problem-solving, and organizational skills.
- Strong discretion and the ability to maintain confidentiality.
- Ability to work effectively in a collaborative and matrixed environment.

Compensation & Benefits:
- Salary Range: $59,000 - $80,000 annually, depending on experience and location.
- Bonus Potential: Eligible for Aon’s annual incentive plan.
