Virtusa is seeking an organized, proactive, and discreet Executive Assistant to support our Chief People Officer (CPO). This role requires strong administrative skills, attention to detail, and the ability to manage sensitive information with professionalism. You will play a key role in ensuring that the CPO's schedule, meetings, and travel plans are managed effectively, while handling communications, coordinating departmental activities, and supporting the Human Resources department on special projects.

Key Responsibilities

  • Calendar and Scheduling Management:

    • Maintain and proactively manage the CPO’s calendar, resolving scheduling conflicts, and coordinating meetings and travel.
    • Schedule and organize departmental meetings, preparing agendas, materials, and logistical arrangements.
  • Travel and Meeting Coordination:

    • Arrange domestic and international travel for the CPO, ensuring complete travel documentation and itineraries.
    • Provide logistical support for meetings, both internal and external, including preparation of agendas and materials.
  • Daily Administrative Support:

    • Work closely with the CPO, keeping them informed of time-sensitive issues and ensuring timely follow-up.
    • Support the CPO's daily work routine, including handling correspondence and expense report submissions.
    • Maintain professionalism and confidentiality with all materials, especially when handling sensitive issues.
  • Stakeholder and Project Coordination:

    • Coordinate with internal and external contacts, including board members, handling sensitive matters under tight deadlines.
    • Provide additional logistical and administrative support for staff assigned to the CPO and assist with operations-related projects.
  • Other Duties:

    • Perform ad hoc tasks and support other departments or executives as needed.

Required Qualifications

  • Education: AA or BA degree preferred, but not required.

  • Experience:

    • Minimum of 5 years supporting senior leadership, C-level executives, or department heads.
    • Strong verbal and written communication skills, with a demonstrated ability to communicate professionally.
    • Thrives in a fast-paced environment, with excellent time-management and organizational skills.
    • Proficiency with Microsoft Office Suite (Outlook, Word, PowerPoint, Excel).
  • Additional Skills:

    • Ability to manage multiple projects, deadlines, and schedule changes promptly.
    • Demonstrates professionalism and discretion when handling confidential information.
