ADM is hiring an Executive Assistant to support the Chief People and Diversity Officer at our Global Headquarters in Chicago, IL. This role is ideal for an organized, adaptable professional with strong problem-solving skills and the ability to manage multiple priorities. You’ll work closely with a senior executive, supporting an efficient, smooth-running environment and acting as a central resource for the HR team’s projects and initiatives.

Ideal Candidate Profile:

This role is well-suited for an individual who enjoys creating organizational systems, is detail-oriented, anticipates the needs of others, and thrives in a dynamic, fast-paced environment. Success in this role requires a balance of professionalism, discretion, and agility.

Primary Responsibilities:

  • Handle confidential information with discretion.
  • Manage complex and changing calendars proactively, resolving scheduling conflicts as needed.
  • Assemble, coordinate, and review documents and presentations for internal and external use.
  • Prepare PowerPoint presentations.
  • Maintain administrative and reference files, utilizing digital tools.
  • Coordinate travel arrangements and prepare expense reports.
  • Organize and manage meetings and events as necessary.
  • Provide support during off-hours as needed, including during travel or other priority times.

Requirements:

  • Proven teamwork skills and the ability to foster positive relationships across all organizational levels.
  • Professionalism, discretion, and maturity, especially when handling confidential information.
  • Strong problem-solving skills, attention to detail, and the ability to make independent decisions.
  • Excellent written and verbal communication skills.
  • Ability to work under pressure and meet deadlines.
  • Proficiency in Microsoft Office Suite (Outlook, Calendar, Word, PowerPoint, Teams, and Excel).
  • A Bachelor’s degree is preferred but not required, with at least five years of relevant executive assistant experience.
  • Prior experience supporting a Chief Human Resources Officer (CHRO) is a plus.
