The HIM Assistant will play a crucial role in maintaining patient medical records and ensuring that both electronic and paper records are accurately managed. This role is essential in converting paper documents into digital formats, reviewing the quality of scanned images, troubleshooting issues with scanning, and maintaining efficient workflow processes for the Health Information Management (HIM) department.
Key Responsibilities:
- Record Management: Maintain electronic medical records, paper charts, microfiche, microfilms, and CD ROMs.
- Scanning: Prepare and convert paper documents into electronic images using scanning technology. Conduct quality checks on scanned images for accuracy and completeness.
- Data Management: Reconcile discharged patient records from inpatient and surgical units. Update patient information and ensure data consistency across various systems.
- Customer Service: Provide high-level customer service by responding to telephone inquiries, assisting clinicians, and liaising with other departments to ensure patient information is accessible.
- Technical Support: Troubleshoot issues with imaging equipment and work with the Health Information Management (HIM) application team to resolve any technical problems related to data accuracy or system downtimes.
- Collaboration: Serve as a liaison between HIM and the storage vendor to coordinate the process of chart storage and retrieval.
- Performance Monitoring: Maintain daily workflow performance statistics and assist with special projects as assigned by the manager.
Qualifications:
- Required Education: High School Diploma or equivalent.
- Experience:
- Preferred: One year of experience in Health Information Management with a background in scanning and medical terminology.
- Strong proficiency in Microsoft Windows, Word, and Excel.
- Prior experience with electronic health records is a plus.
- Skills:
- Excellent organizational skills with the ability to handle multiple tasks simultaneously.
- Strong attention to detail and ability to work independently with minimal guidance.
- Excellent customer service and communication skills.
