The Design and Records Specialist role with Maricopa County involves a multifaceted set of responsibilities focused on supporting Facilities Management (FMD) leadership and staff. This position is critical for maintaining, updating, and distributing documents, drawings, and records associated with facility construction and operations.
Key Responsibilities:
- Records Management: Serve as the Custodian of Records, managing data classification and compliance with the Arizona State Library, Archives, & Public Records (LAPR) retention standards. Respond to public records requests and coordinate with the Office of Information Governance.
- Design Production: Create and manage design documents, including conceptual floor plans, schematic designs, detailed construction drawings, and permit sets. Work closely with the Interiors team to develop finish schedules for tenant improvement projects.
- Technical Coordination: Produce construction documents and bid packages, including custom construction details and layout test fit floor plans. Maintain and update FMD Master Drawings and Zoning Diagrams.
- Project Management Support: Oversee the intake and organization of project closeout documents, ensuring records are transferred and indexed into the county's central data repository.
- GIS and Asset Management: Maintain the GIS facility locations map using ArcMap and IBM Maximo, ensuring data synchronization between systems.
- Collaboration and Compliance: Work with Project Managers, O&M teams, and external consultants to distribute and review documentation, adhering to FMD CAD standards.
Required Qualifications:
- Education: Bachelor’s degree in Architecture, Engineering, Business Administration, or a related field.
- Experience: Minimum of five years in professional architectural or engineering roles, including at least two years of project management experience related to facility construction.
- Licenses: Ability to obtain a valid Arizona driver’s license with an acceptable driving record.
- Background Check: Must pass the PREA, MCSO background investigation, and TOC certification.
Preferred Qualifications:
- Familiarity with BOMA Floor Measurement Standards, International Building Codes, and ANSI ADA standards.
- Proficiency in Revit, SketchUp, and Photoshop for design work.
- Knowledge of Arizona's public records retention schedules.
- Experience with GIS systems and 3D modeling software.
