The Database Assistant is a key part of the Maryville development team and reports directly to the Director of Development. This position is responsible for maintaining the accuracy and timeliness of constituent records, managing gift processing, updating donor and alumni records, generating queries and reports, and supporting event management using Raiser’s Edge database software. Responsibilities include handling event-related tasks such as processing invitation responses, participant entries, and generating attendee reports.
Key Responsibilities:
- Collaborate with the Database Coordinator to ensure accurate and timely entry of gift transactions, selecting the correct codes for appeals, campaigns, and funds, applying soft credits as needed, and processing matching gift pledges and payments.
- Validate transaction entry batches to confirm alignment with financial deposits.
- Prepare gift batches received from the finance department and create batch headers with relevant transaction fields and default entry fields.
- Generate acknowledgement letters within three business days of receiving donations.
- Create constituent and gift queries within Raiser’s Edge to facilitate report generation.
- Use online tools to update constituent address and contact information.
- Update constituent records with information gathered through contact, mailings, events, or development staff.
- Manage event records on Raiser’s Edge, ensuring participant registration, seating assignments, list generation, and donation tracking are accurate.
- Handle donor and prospect mailings, including preparation, label generation, and mail processing.
- Scan donor acknowledgement letters before mailing to confirm each gift has been acknowledged.
- Communicate with donors about payment details when necessary.
- Complete database coding projects and ongoing maintenance tasks.
- Support Maryville Academy events.
- Track daily online donations.
- Manage orders for stationery and envelopes.
- Maintain confidentiality of all donor information.
- Perform additional tasks as assigned.
