The Finance team manages the financial and accounting functions for the foundation, ensuring its fiduciary responsibilities are met. The Equity Office is responsible for driving internal and external Diversity, Equity, and Inclusion (DEI) initiatives, supporting change management efforts. The Chief Operating Officer (COO) coordinates operational and administrative strategies across the foundation. These teams are customer-service oriented and detail-focused, working collaboratively to deliver effective and innovative programs, services, and solutions that foster an efficient and supportive work environment.

Position Overview:

Under the guidance of the Chief Operating Officer and in collaboration with the Chief Financial Officer and the Manager of DEI, the Department Coordinator provides vital support to these departments. This position involves close interaction with the Finance and Equity Office teams to ensure seamless operations.

Key Responsibilities:

  • Perform general office tasks such as answering phones, greeting visitors, sorting and distributing mail, and ordering office supplies.
  • Prepare weekly communications, including meeting arrangements and announcements for review and approval.
  • Offer administrative support for basic financial tasks and projects.
  • Reconcile monthly financial accounts.
  • Coordinate meetings with external partners such as banks, tax consultants, and auditors.
  • Assist with the submission of insurance renewals and surveys.
  • Manage the distribution of corporate credit cards to foundation staff.
  • Provide operational support to the Equity Office as needed.
  • Serve as a primary resource for the Chief Operating Officer.
  • Identify and suggest improvements to departmental processes.
  • Handle other duties as assigned.

Qualifications:

  • College education preferred, but not required.
  • Must be reliable and dependable, with the ability to maintain regular working hours across multiple departments.
  • Minimum of three years of administrative experience.
  • Strong ability to work collaboratively with all levels of the organization and within diverse teams.
  • Professional demeanor and excellent interpersonal skills.
  • Strong organizational and written communication skills.
  • Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
  • Self-starter with the ability to manage tasks, solve problems, multitask, prioritize, meet deadlines, and provide excellent customer service.
  • Strong customer-oriented mindset.
  • Flexible and open to taking on new tasks and responsibilities.
  • Inclusive mindset and ability to work in a diverse environment.
  • Ability to lift up to 50 pounds as required.

Additional Information:

  • The annual salary for this role begins at $67,600.
  • This is a hybrid position based in Chicago, Illinois.
