Key Responsibilities:


  • Document Management: Print title, registration, and tax documents based on owner, state, and specific client or vehicle instructions. Ensure compliance with state and county statutes.
  • Title and Registration Processing: Analyze and resolve state, county, and provincial title, registration, and tax rejections or questions.
  • Forms Definition: Update and adjust form positions in the system to meet specific requirements.

Registration Renewals:

  • Renewal Processing: Process registration renewals using the appropriate methods for each jurisdiction, ensuring accuracy and timeliness.
  • Billing Accuracy: Verify registration and service fees to ensure clients are billed correctly for renewals.
  • Discrepancy Reconciliation: Resolve discrepancies using Wheels’ databases and vendor reports.
  • Client Coordination: Contact drivers or clients to address jurisdiction requirements such as emissions checks or resolving outstanding violations.
  • Collaboration: Work with other departments to fulfill missing or late requirements to ensure vehicles remain compliant for client use.

Education and Experience:

  • Education: Minimum high school diploma or equivalent.
  • Experience: 2 years of office or customer service experience.
  • SalesForce: Experience using SalesForce or similar request management systems to engage with clients and respond to requests.

Skills and Competencies:

  • Communication: Clear, confident, and succinct communication skills when interacting with dealers, agencies, and clients.
  • Customer Service: Strong customer service skills, demonstrating diplomacy and tact in all interactions.
  • Multi-tasking: Ability to manage multiple tasks in a fast-paced environment while maintaining organization and prioritizing effectively.
  • Attention to Detail: High level of attention to detail to ensure the accuracy of invoicing and other tasks.
  • Problem Solving: Strong follow-up and problem-solving skills, especially in handling discrepancies or missing requirements.
  • Mathematics: Ability to perform basic math functions to calculate complex tax documents.
  • Technical Proficiency: Proficient with Microsoft Windows (Visio, Word, Excel, etc.), web-based systems, and internet navigation.
  • Vendor Relations: Strong networking skills to negotiate costs and pricing with various vendors.
  • Self-Motivation: Ability to work independently while contributing to a team environment and demonstrating leadership qualities.
