Provide⠀administrative⠀support⠀for the⠀Chief⠀Compliance⠀Officer,⠀Americas⠀(“CCO”)⠀and⠀Compliance⠀Department.⠀The ideal⠀individual⠀will have⠀the⠀ability to⠀exercise⠀good⠀judgment⠀in a⠀variety of⠀situations,⠀be⠀resourceful,⠀work⠀independently⠀and in a⠀team⠀environment,⠀and be⠀able to⠀work under⠀pressure⠀to handle⠀a wide⠀variety of⠀confidential⠀matters⠀with⠀discretion.
Roles and Responsibilities:
- Maintain⠀the⠀CCO’s⠀calendar⠀by⠀coordinating⠀all⠀meetings⠀and calls,⠀including⠀video⠀conferencing
- Create⠀and edit⠀presentations,⠀reports,⠀and⠀meeting⠀agendas
- Perform⠀general⠀office⠀duties:⠀manage⠀incoming⠀and⠀outgoing⠀mail,⠀scanning,⠀copying,⠀printing,⠀filing,⠀ordering⠀supplies,⠀and⠀maintaining⠀an⠀organized⠀office
- Work⠀closely⠀with⠀Procurement⠀and⠀Accounts⠀Payable to⠀get⠀invoices⠀processed⠀and⠀paid
- Review⠀and⠀process⠀legal⠀invoices⠀via⠀TyMetrix⠀360°
- Schedule,⠀plan, and⠀execute⠀monthly⠀staff⠀meetings⠀and team⠀events
- Onboard⠀Compliance⠀new hires⠀and⠀consultants
- Serve⠀as a point⠀person for⠀ordering⠀software⠀and⠀equipment⠀for⠀department
- Maintain⠀working⠀relationship⠀with⠀internal⠀departments⠀and⠀external⠀clients⠀and⠀vendors
- Manage⠀all⠀travel,⠀including⠀booking⠀flights,⠀cars, and⠀hotel⠀reservations⠀via⠀Concur.⠀Process⠀all⠀associated⠀expenses
- Prepare⠀and submit⠀expense⠀reports
- Complete⠀ad-hoc⠀tasks and⠀participate⠀in special⠀projects⠀as needed
Qualifications:
- Must have⠀a minimum⠀of 5+⠀years’⠀experience⠀in an⠀administrative⠀function
- The⠀ability to⠀work in a⠀face paced⠀environment
- Proven⠀ability to⠀handle⠀confidential⠀information⠀with⠀discretion
- Proficient⠀technical⠀skills⠀including⠀but not⠀limited to⠀MS Office⠀applications,⠀Zoom,⠀Teams,⠀Concur and⠀TyMetrix⠀360°
- Excellent⠀time⠀management⠀skills and⠀ability to⠀multitask⠀and⠀prioritize⠀work
- Attention⠀to detail⠀and⠀problem-solving⠀skills
- Strong⠀organizational⠀skills⠀including⠀the⠀ability to⠀manage⠀calendars⠀and⠀effectively⠀maintain⠀documents⠀and files
The salary⠀range for⠀this role⠀is $90,000⠀- $100,000
