The Department of Dermatology at the University of Miami is seeking a full-time Clinical Business Operations Representative 1. This role involves facilitating the resolution of issues related to pre and post patient care, performing general administrative tasks, and ensuring efficient patient management. The successful candidate will provide professional and courteous assistance to patients, maintain confidentiality, and adhere to the University’s service standards.

Key Responsibilities:

  • Patient Care Management:
    • Assist in managing expectations surrounding pre and post patient care.
    • Obtain and review patient demographic and insurance information, ensuring referral numbers are accurate.
    • Review clinical records for completeness, including necessary authorizations and signatures.
  • Administrative & Reception Duties:
    • Answer multiple telephones, triage incoming calls, respond to inquiries, and document messages appropriately.
    • Greet visitors and callers, directing them to the appropriate department or employee.
    • Provide coverage for co-workers' responsibilities as needed.
    • Promote effective communication methods among physicians, managers, and staff.
  • Data Management:
    • Enter patient demographic information in the Power Path computer system.
    • Record clinical descriptions and gross measurements for each specimen.
    • Transcribe dictations for biopsies, including diagnoses and microscopic findings.
  • Laboratory Support:
    • Obtain request forms from the lab and ensure biopsy numbers are in order.
    • Prepare paperwork and select slides for consultations, recording them in the lab log.
    • Review and manage outstanding slide consults.
    • Maintain the specimen log and backlog report for doctors.

Minimum Qualifications:

  • Education: High school diploma or equivalent.
  • Experience: No previous experience required.
  • Skills:
    • Proficiency in data entry with minimal errors.
    • Effective oral and written communication skills.
    • Ability to work independently or in a collaborative environment.
    • Strong organizational skills with attention to detail.
    • Commitment to the University’s core values.
    • Willingness to work evenings, nights, and weekends as necessary.

Department-Specific Functions:

  • Obtain and organize biopsy request forms, ensuring demographic and topography information is accurate.
  • Transcribe dictations from Dermatopathologists, including detailed specimen reports.
  • Handle telephone inquiries, requests for courier services, and maintain lab logs.
  • File correspondence and maintain accurate records for dermatopathologists.
