We are seeking a detail-oriented and proactive Associate to join our IT Portfolio Management Office (IT PMO). Under the general supervision of a Specialist, this role is critical for analyzing capital portfolio data, reviewing project information, and providing efficient support to our IT leadership team within the Office of the CIO. The ideal candidate will help develop and foster consistent project management practices across IT and its Business Partners.

Key Responsibilities

Core Responsibilities

  • Data Analysis: Support departmental goals through the analysis of portfolio and governance data, facilitating process changes, updates, and documentation.
  • Report Development: Utilize Microsoft tools such as Power BI and advanced Excel functions to develop reports and applications.
  • Capital Portfolio Analysis: Perform analysis and trending of the IT capital portfolio, making recommendations for process improvements within the PMO.
  • Knowledge Management: Leverage or acquire in-depth knowledge of Teams, Channels, SharePoint, and manage content, taxonomy, security, and permissions effectively.
  • Standards Development: Support the establishment of standards, processes, tools, and training to promote excellence in project management for IT projects and programs.
  • Quality Assurance: Conduct quality assurance checks on projects to ensure adherence to standards, collaborating with the PMO Section Manager to identify necessary corrective actions.
  • Office Management: Provide organizational support to the IT Department, including maintaining calendars, scheduling meetings, assisting with travel arrangements, and preparing meeting agendas and presentation materials.
  • Office Space Oversight: Manage the upkeep of the office space by disposing of outdated documents, updating seating charts, and coordinating maintenance work as needed.
  • Action Item Tracking: Respond to and track action items from meetings or assignments, fostering collaboration to meet deadlines.
  • Calendar Management: Proactively review calendars, address meeting conflicts, and ensure thorough preparation for all requests.
  • Inclusivity and Diversity: Uphold the company’s values of inclusion and diversity to engage employees effectively.
  • Special Projects: Assist with special projects and perform other related tasks and assignments as required.
  • Emergency Management: Participate in the company's emergency management processes and storm plans as required.

Qualifications

Required Education/Experience

  • Bachelor’s Degree in Engineering, Business, or Computer Science.
  • Minimum of one year of relevant work experience (may include full-time or internship experience) or at least six months of work experience if participated in the company’s full-time college cooperative or summer internships.

Relevant Work Experience

  • Strong attention to detail with the ability to anticipate work requirements and prioritize deliverables.
  • Ability to interact effectively with all levels of management.
  • Self-starter with a strong work ethic and capacity to multi-task.
  • Preferred experience with SharePoint, Visio, OneNote, OneDrive, and other similar tools.

Skills and Abilities

  • Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
  • Strong written and verbal communication skills.
  • Excellent organizational skills, attention to detail, and flexibility to manage multiple assignments.
  • Sound judgment and decision-making abilities.
  • High degree of initiative with the capability to analyze and interpret financial data.
  • Ability to work within tight timeframes and meet strict deadlines.

Licenses and Certifications

  • Valid Driver's License is required.

Physical Demands

  • Ability to sit or stand for extended periods while using a keyboard, mouse, and computer.

Additional Physical Demands

  • Must be able to respond to company emergencies by performing a System Emergency Assignment to restore service to our customers.
