Job Description:

  • Uphold a professional image and attitude while focusing on the company’s objectives and prioritizing the welfare of residents.
  • Maintain and organize complete resident files.
  • Manage general office filing systems.
  • Assist with the preparation of advertising materials for Market Limits.
  • Draft letters and memos as needed.
  • Help with showing apartment units and screening potential applicants.
  • Assist in coordinating the refurbishing and occupancy schedules for vacant units.
  • Support the maintenance work order system and follow procedures for purchase orders.
  • Maintain and update the purchase order logs for each property.
  • Prepare and distribute late notices and rent payment reminders.
  • Order office supplies, adhering to established budget guidelines.
  • Track and maintain tickler files for annual apartment inspections.
  • Assist in keeping the apartment condition and status chart current.
  • Help prepare and maintain monthly/weekly reports and analyses.
  • Assist in rent collection, ensuring receipts and deposits are accurately prepared for submission to the corporate office.
  • Ensure adherence to the Employee Handbook.
  • Work with the Attorney and Manager on legal matters and proceedings.
  • Support the management of inventory for project supplies and equipment.
  • Maintain records of rental prices for comparable units in nearby areas.
  • Answer the phone in a polite and professional manner.
  • Communicate courteously with residents, applicants, and external partners or vendors.

Qualifications:

  • Strong organizational skills with attention to detail.
  • High School diploma required.
  • Proficient typing skills.
  • Ability to accurately use office equipment, including adding machines.
  • Previous experience in a full-time secretarial role, preferably in a related field.
  • Professional appearance and grooming.
  • Strong interpersonal skills with an ability to relate to and understand resident concerns.
  • Ability to support the Manager in daily duties and tasks.
  • Capable of assisting with the Manager’s responsibilities in their absence.
