The Grants Administrator in the Grants Management department will provide administrative and operational support for a portfolio of grants. The role is ideal for someone looking to gain experience in foundation operations and grants management systems. You will assist with data entry, grantee communications, and support the team with administrative tasks, contributing to the smooth execution of the Foundation’s grantmaking operations.
Key Responsibilities:
Grants Management:
- Enter and maintain accurate grant data in the grantmaking system, including grantee contact information, payment details, and reporting requirements.
- Resolve coding and data issues in coordination with the data management team.
- Follow-up with grantees and Finance to ensure payment forms and banking details are updated and processed.
- Ensure grantee compliance by following up on required documentation and approvals.
- Support the closing of grantee records and assist with regular data reconciliations throughout the year.
- Assist with the review of Letters of Inquiry (LOI) and respond to inquiries from grantees, applicants, and Foundation staff.
Administrative and Communications Support:
- Provide logistical support, including scheduling meetings and coordinating travel for the Grants Management team.
- Prepare meeting agendas and take detailed notes during team meetings, tracking action items and decisions.
- Handle routine inquiries and provide customer service to applicants, grantees, and staff.
Foundation and Sector Engagement:
- Participate in Foundation-wide meetings, training programs, and professional development opportunities.
- Engage in cross-department committees and stay informed on sector trends, compliance, and philanthropy best practices.
Qualifications:
- Education & Experience: Bachelor’s Degree or equivalent, plus 1-2 years of relevant work experience, preferably in an administrative or data entry role.
- Skills:
- Strong attention to detail and follow-through.
- Proficiency in Microsoft Office Suite.
- Excellent written communication and customer service orientation.
- Interest in learning and working with databases and grants management systems.
- A strong passion for philanthropy and nonprofit work.
- A commitment to equity and organizational growth.
- Preferred: Experience with administrative tasks and data entry, or a background in grants management is beneficial.
Compensation:
- Annual Salary: Starting at $73,900.
Physical Requirements:
The role requires intermittent physical activity such as bending, reaching, and moving around the office.
Work Environment:
The position is hybrid with a combination of in-office and remote work.
