As an Administrative Coordinator, you will be responsible for managing all reception tasks and assisting in purchasing and logistics. Your role will involve ensuring a welcoming environment for visitors and supporting administrative functions to facilitate smooth operations.

Key Responsibilities:

Receptionist / Administration:

  • Greet and welcome guests/visitors upon arrival, directing them to the appropriate personnel and office.
  • Answer, screen, and forward incoming phone calls, providing accurate information in person and via phone/email.
  • Maintain a tidy and presentable reception area.
  • Receive, sort, and distribute daily mail and deliveries.
  • Ensure office security by following safety procedures and controlling access via the reception desk (monitoring logbook).
  • Issue Personal Protective Equipment (PPE) to visitors at the plant.
  • Monitor office facilities, including stationery and other office equipment.
  • Assist with travel arrangements such as flight, hotel bookings, and car rentals as needed.
  • Set up meeting rooms and training spaces, arranging catering for events when required.
  • Coordinate with facility/building maintenance for repairs, pest control, and cleaning services.
  • Perform additional tasks assigned by the supervisor.

Purchasing and Logistics:

  • Create Purchase Orders (POs) in the ERP system and monitor scorecards.
  • Send and receive documents and packages, both locally and internationally.
  • Draft shipping documents and follow company policies and procedures, including Quality Management Systems (QMS) and Health, Safety, and Environmental Management Systems (HSEMS).

  • Strong customer service orientation.

Education and Experience Required:

  • Proven work experience as a Receptionist or in an administrative role.
  • 0-2 years of experience in a related field.
  • Diploma degree preferred.
  • Experience in logistics is advantageous.
  • Knowledge of ERP systems is a plus.
  • Proficiency in MS Word, Excel, PowerPoint, and other MS Office software.
  • Good command of business English.
  • A valid driver’s license.
