As an Administrative Coordinator, you will be responsible for managing all reception tasks and assisting in purchasing and logistics. Your role will involve ensuring a welcoming environment for visitors and supporting administrative functions to facilitate smooth operations.
Key Responsibilities:
Receptionist / Administration:
- Greet and welcome guests/visitors upon arrival, directing them to the appropriate personnel and office.
- Answer, screen, and forward incoming phone calls, providing accurate information in person and via phone/email.
- Maintain a tidy and presentable reception area.
- Receive, sort, and distribute daily mail and deliveries.
- Ensure office security by following safety procedures and controlling access via the reception desk (monitoring logbook).
- Issue Personal Protective Equipment (PPE) to visitors at the plant.
- Monitor office facilities, including stationery and other office equipment.
- Assist with travel arrangements such as flight, hotel bookings, and car rentals as needed.
- Set up meeting rooms and training spaces, arranging catering for events when required.
- Coordinate with facility/building maintenance for repairs, pest control, and cleaning services.
- Perform additional tasks assigned by the supervisor.
Purchasing and Logistics:
- Create Purchase Orders (POs) in the ERP system and monitor scorecards.
- Send and receive documents and packages, both locally and internationally.
- Draft shipping documents and follow company policies and procedures, including Quality Management Systems (QMS) and Health, Safety, and Environmental Management Systems (HSEMS).

Education and Experience Required:
- Proven work experience as a Receptionist or in an administrative role.
- 0-2 years of experience in a related field.
- Diploma degree preferred.
- Experience in logistics is advantageous.
- Knowledge of ERP systems is a plus.
- Proficiency in MS Word, Excel, PowerPoint, and other MS Office software.
- Good command of business English.
- A valid driver’s license.
