As an Executive Administrative Assistant, you'll provide critical support to senior management, facilitating smooth operations and ensuring effective coordination within the organization. Your role will be pivotal in managing schedules, handling correspondence, and coordinating meetings, all while maintaining a high level of professionalism.
Key Responsibilities:
- Executive Support: Provide direct administrative support to the VP of FL Government Affairs and VP of Retail and Marketing, and assist their Sr. Director teams as needed.
- Calendar Management: Manage the travel and schedules of VPs, including planning and coordinating appointments, meetings, and detailed itineraries.
- Office Coordination: Oversee general office needs such as office moves, IT coordination, and supplies management.
- Meeting Coordination: Schedule and coordinate internal meetings and presentations, preparing necessary materials and equipment.
- Travel and Expense Management: Maintain travel and expense records, prepare necessary forms, and reconcile figures.
- Communication: Handle mail and correspondence, ensuring timely and professional responses.
- Additional Duties: Perform other duties as assigned, including possible work on evenings, weekends, and travel as needed.
Qualifications:
- Experience: Proven experience in an administrative support role, with a strong ability to manage executive schedules and correspondence.
- Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and electronic mail systems.
- Professionalism: Ability to maintain a high level of confidentiality, professionalism, and attention to detail.
- Availability: Regular, consistent, and punctual attendance is required; flexibility to work evenings or weekends as needed.
