Role Overview
As part of AlixPartners' Corporate Services team, the Administrative Professional provides direct support to consulting professionals, handling a variety of tasks. You will manage complex calendars, arrange travel, process expenses, and handle time entries and case documents. Your role will involve high-level customer service, prioritizing urgent tasks, and handling sensitive information. The role is based in our Chicago office and reports to the Office Manager – Chicago.

Key Responsibilities

  • Manage complex calendar scheduling, book domestic and international travel, and process expense reports and time entries.
  • Handle sensitive and urgent information while exercising sound judgment.
  • Maintain and manage contact databases, organize mailings, and create/edit correspondence, invoices, engagement letters, and presentation materials.
  • Provide support for internal events, travel planning, and client coordination.
  • Balance multiple priorities and ensure timely execution while considering urgency and potential impact.
  • Assist with kitchen upkeep, including maintaining supplies, making coffee, and managing dishwashing duties.
  • Set up and clean up conference rooms for meetings, including catering arrangements.
  • Provide backup support for other administrative professionals and handle additional tasks as needed.

Required Qualifications

  • High School diploma or equivalent required; college degree preferred.
  • Minimum of two years of administrative experience, with preference for experience in a professional services environment.
  • Excellent written and verbal communication skills.
  • Strong organizational and prioritization skills with a keen attention to detail.
  • Ability to manage multiple priorities and maintain composure under pressure.
  • Proactive, self-starter with a professional demeanor and exceptional customer service skills.
  • Proficiency with Microsoft Word, Excel, Outlook, and PowerPoint.
  • Must be able to start work at 8:30 AM and work full-time, with flexibility to work overtime as needed.
  • Must be authorized to work in the United States (no visa sponsorship available).
  • Ability to lift a minimum of 15 pounds.

  • Ability to maintain discretion and handle confidential information.
  • Willingness to work outside of typical U.S. business hours as needed.
